Chambers Manager

Furnival Chambers

Position reports to: Heads of Chambers & Directors

Salary: Competitive

Summary of Role: The Chambers Manager will report to the Head of Chambers/Directors but will have a high degree of autonomy.

S/he will be responsible for the smooth running of Chambers both on a day-to-day basis and in the longer term.

His/her responsibilities will include all aspects of the operation of Chambers with the exception of matters relating to clerking and practice management and practice development.

Key Responsibilities:

  • To carry out all duties in a professional, courteous manner and with an understanding of the impact of actions and attitudes on colleagues, barristers and professional clients
  • Maintain the highest ethical standards and demonstrate integrity in all dealings with counsel, professional clients and chambers suppliers
  • To ensure all activities, actions and recordings are carried out in accordance with our duty to comply with best practice and to meet quality standards
  • To play a part in developing and maintaining a strong friendly and supportive atmosphere within the whole staffing team
  • To undertake any training that is required in order to achieve a high-quality standard of practice.

Duties:

Financial Management

  • Preparing monthly management information for the Directors
  • Preparing annual and monthly budgets for Chambers in conjunction with Chambers’ Accountants
  • Liaising with auditors on the preparation of year end accounts
  • Liaising with Chambers’ Accountants

Property Management, Facilities and Supplies

  • Liaising with landlords, building managers and negotiating future premises needs of Chambers to streamline Chambers’ footprint and ensure the best market rates
  • Ensuring payment of rent and rates
  • Ensuring premises are cleaned regularly
  • Refurbishment issues
  • General liaison with suppliers of all goods and services to Chambers
  • Daily input of supplier invoices and payments to suppliers
  • All health and safety issues
  • Ensuring compliance with disability legislation

Corporate

  • Acting as Company Secretary
  • Responsible for Company’s statutory records and registration obligations
  • Diarising and preparing agendas for Directors’ meetings
  • Acting as minute-taker and attending monthly Directors’ meetings.

Event Management/Marketing/Hospitality

  • Provide support to Clerks and Barristers in marketing themselves by organising: -
    • (i)  Seminars and talks
    • (ii)  Receptions
    • (iii)  In-House publications for Chambers and Chambers’ practice groups
    • (iv)  Ensuring the website is up to date with appropriate entries
    • (v)  Coordinate the submissions for the annual round of Chambers’ directories’ entries
    • (vi) Promote other external publication opportunities
  • Ensure all publications portray an appropriate image of Chambers, consistent with Chambers’ reputation and brand
  • Organise marketing and publicity events (including an Annual Lecture Series and oversee the preparations for ‘Strictly Furnival’)
  • Managing daily catering services, including regular refreshment provision for conferences

Compliance/Employment/Human Resources

  • Responsible for maintaining records and registration obligations with the Bar Standards Board, including compliance with various policies
  • Responsible for ensuring all members of chambers have Bar Mutual Insurance
  • Responsible for ensuring all members of chambers are registered for Data Protection
  • Direct line manager for [non-clerking staff e.g., administrators, reception staff]
  • Carrying out and/or overseeing all staff appraisals and disciplinary procedures
  • Payment of salaries
  • Staff recruitment projects
  • Coordinating staff holidays and sickness reporting (all staff)

Information technology

  • Supervisory responsibility for all of Chambers’ IT and telecommunications functions
  • Supervising both internal and external support for individual barristers’ IT requirements
  • Responsibility for the management of Chambers’ website [content is in conjunction with the the Senior Clerk]

Pupillage and New Tenants

  • Supervising secretarial support to the Pupillage Committee
  • Supervising the dissemination of appropriate information on Chambers’ operations to new pupils and tenants

Other Tasks

  • Undertake any other tasks reasonably delegated by the Directors
  • Comply with the contents of the Employee Handbook
